The revenue analysis can be drawn using customer code or customer sire code. Statement of Accounts based on project site / customer code would allow the user to manage the Accounts Receivable. Open Invoices, Paid Invoices, Unpaid Invoices are tracked for better financial control.
Operation Management allows the user to create new projects at various sites. Once the enquiry of the service or RFQ is received, a general survey is conducted by Surveyor to know the insight of the project. The User can define dynamic parameter for conducting of the project survey. Once the surveyor conducts the survey, based on the inputs, finance can estimate the project cost. The main costing heads can be defined for Resources, Logistics & Transportations, Materials, Petty-Expenses, and Over-Head Costings. Each project can have a potential cost estimation. This cost can later be analyzed based on the project revenues.
The most powerful tool of Manned Guarding Security Management is the Roster. The Roster allows the Manager to schedule the resources based on the availability and geography. Various working shifts can be defined based on the project requirements. Each shift can have a service security personnel. Once the Roster is made for the project-site, the system allows the manager to schedule the Resource based on the availability. The roster not only track the schedule shift, but also the total working hours for the day. System does not allow any overtime until and unless defined by the supervisor. The locking of shift and the total service hours would stop financial pilferages like undefined overtime, over scheduling of resource, etc.
Integrated with Human Resource Management, the operation management plays a pivotal role. The HRM allows to define Employee with various status. grade, designation, department, project, project sites, payroll package, leaves entitled, annual vacation. System has complete integrated payroll with operation management. Annual Leaves, Vacations, and other leaves can be applied based on Accrued or Pro-Rata basis. Loans Management allows the employee to apply for the loan that would be equated in deductible instalments within the payroll period. Complete workflow allows the approval process of various HR operations.
Integrated Financial Management has been provided in the System to manage the day-to-day financial Activities. It comprises, General Ledger, Accounts Payable, Accounts Receivable, Perry Cash Expenses, Branches and Cost Centers, Cost Dimensions, Petty Cash, Cash and Bank Management. System is VAT complaint and integrated with ZATCA. Various Reports are provided in the system for a detailed view of financial activities. The system is based on GAAP standards and supports multiple tax slabs.
Inventory Management allows the user to maintain different stores/location or warehouses. Each warehouse can be a cost center and mapped to Chart of Accounts. Inventory hierarchy allows the user to classify the product into four categories. Various Pricing levels are allowed for the same items that can be used based on the requirement. The system tracks multi-location inbound and outbound inventory. Inventory Transaction like Stock Issues, Stock Receipts, Stock Transfers, Stock Reconciliation can be entered based on the Transaction Location.
Procurement on other hand allows user to manage all the inbound stock. It comprises, Vendor Management, Purchase Management, Purchase Return, and Goods Receipt Notes. A Purchase Requisition can be made for various items. Later the Requisition can be converted into Purchase Order. Purchase Order is approved and submitted to Vendor for the Stock Receipts. GRN are made from the PO based on the quantity received. The system is fully integrated with Accounts Payable. Any GRN that get posted in the system would generate a Vendor Liability immediately.
The system is available on Cloud as SaaS or on Licensing. The system is based on latest Microsoft Technology using SOA & REST Services. Each service call is authenticated with a token, and unauthorized access are denied. The system defined various users at different level. Each user can have their own Menu authorization that would allow the Administrator to control roles and responsibilities. Approval Authorities, Branch Authorities, COA Segments, Parameter for various modules, configuration etc.
The most important task is to track the resource onsite availability and geo-fencing. The Mobile App allows the security personnel to provide attendance from the project site. System would authenticate the project site and takes valid attendance. One the resource is clocked in, it start tracking the security personnel geo-location. If the geo-location is with the tolerance limit system keep them in green zone. If the geo-fencing is calculated outside the tolerance limits, system alerts the supervisor and keeps the resource in red-zone. The system also allows the security personnel to onsite report incidents with evidence like image or video.
